Information Cotable handles
- Account information such as name, email address, and authentication data.
- Workspace information: co-op profile, subjects, schedules, rosters, guardian links, attendance, progress notes, and records.
- Curriculum and content you provide, including pasted text, PDFs, uploads, lesson plans, boards, and generated artifacts.
- Operational information needed to keep the service reliable, including request, error, and security logs.
- On this marketing site, a small set of first-party funnel events such as page, persona path, beta-request click, and invite handoff. These events contain no name, email, student information, or free-form text.
Why we use it
We use this information to authenticate accounts, provide shared planning and record-keeping features, process the AI actions you request, send transactional and opted-in week-ahead email, prevent abuse, diagnose failures, and improve the beta.
Processors and data movement
Cotable runs on Cloudflare. Structured application data is stored in Cloudflare D1; files are stored in Cloudflare R2; transactional email is sent through Cloudflare Email Sending. When you invoke an AI feature, the relevant prompt and content are sent to OpenAI through its API. See AI & data use for the exact boundary.
Training and sale of data
Cotable does not sell personal information. Cotable does not use your curriculum, student data, prompts, or model output to train its own foundation model. OpenAI states that API inputs and outputs are not used to train its models by default unless the API customer explicitly opts in. OpenAI may retain API content for abuse monitoring under the controls and time periods described in its current API documentation.
Retention, access, and deletion
During beta, workspace data is retained while the account and workspace remain active so plans and records continue to work. Some operational logs are kept for shorter service and security windows. Account-wide export and deletion are not yet self-serve. Email hello@cotable.ai to request access, correction, export, or deletion; we will confirm the requester before changing account data.
Children's information
Cotable is designed for adults organizing a homeschool or co-op. Children do not create Cotable accounts in the current product. Parents and authorized co-op staff are responsible for deciding what information about a child is appropriate to add and for having the authority to share it.
Changes
Material changes will be reflected on this page with a new reviewed date. Beta users will be notified before a change that meaningfully expands how their curriculum or student information is used.
